PROMPT BUT DON'T PROCESS CHANGES

Prompt but don't process is a feature enabled in the Customer Payments preference settings. It is most commonly used by clients for: (1) capturing credit card data for subsequent appointment payments, or (2) capturing credit card data to process a later no-show charge. Under the current system, clients are able to capture a credit card number and process a future payment either from the Appointment-Plus POS module or from their own independent credit card keypad terminal. We recognize the information below may require business process changes for you and we apologize for this inconvenience. We too have made many changes to meet PCI requirements. However, the changes will provide your data better security overall and are PCI mandates required by the credit card companies (i.e. Visa) - so Appointment-Plus and all other Internet software providers have no choice whether to implement PCI changes.

After September 18, 2010 (Changed from August 23, 2010), prompt but don't process will still be available to most clients but with a different structure. The new structure will look slightly different as the credit card data is captured and input via the Web. Instead of a simple field capture, the credit card data, whether entered by a customer or by your staff, will:

  • Directly input into the PCI-compliant database provided by Merchant Warehouse;
  • Process a $0.00 transaction; and
  • Return a customer "payment token" for storage in the applicable customer profile (the token is just a benign card reference number).

This process of "tokenization" allows you (and your customer if needed) to use the payment token to process future payments through the Appointment-Plus POS module. The last four digits of the credit card number associated with the token are also displayed so the related card is known.

Because tokenization requires the actual processing of the card number, you will be charged your standard processing fee (approximately $0.20-$0.25) for the initial tokenization transaction for each customer profile. This is a charge by Visa and is NOT made by Appointment-Plus. The good news is that the card number is actually verified. In addition, because of the competitive rates of MerchantWare, your processing rates should be lower.

Please note however that the prompt but don't process feature will now be available ONLY for clients who meet all four of the following requirements:

  • 1. You must have a U.S.-based bank account.
  • 2. You must have a credit card merchant account with Merchant Warehouse. Click here to quickly get started with Merchant Warehouse.
  • 3. You must have a credit card gateway account with MerchantWare.
  • 4. You must have the Appointment-Plus Point of Sale (POS) module on your account. For information on how the POS module works, click here (enable audio). Please contact our support staff to enable this feature on your account (480-483-1199, option 3).

If you wish to continue using the prompt but don't process feature after September 18, 2010 (Changed from August 23, 2010), and do not have a MerchantWare gateway account, your next steps are:

  • 3. Obtain your MerchantWare gateway credentials.

PROMPT BUT DON'T PROCESS FAQs

Q:  What happens to all of the credit card information I currently have on file for customers?
A:  You will no longer have access to any customer credit card information. We have several options available for clients facing this issue. The best option is to set up your MerchantWare gateway and tokenize all existing credit card numbers at one time (batch) - we will assist you in this process. Q:  Will I be able to see the last four digits of the credit card numbers for my customers?
A:  If you are using MerchantWare as your gateway and tokenize a customer card number, you will be able to see the last four digits of your customers' credit card numbers.

Q:  We currently copy the customer credit card number from Appointment-Plus and run it through our credit card terminal. Can we still do this?
A:  No. You won't have access to the customer credit card numbers. An option is to use our "prompt but don't process feature (discussed above) and then process credit card transactions directly through the Appointment-Plus POS module.
